We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to our team and ensure the smooth day-to-day operations of our office. The ideal candidate will be a proactive problem-solver with excellent communication skills and a strong ability to multitask.
Key Responsibilities:
Answer and direct phone calls in a professional manner
Organize and schedule meetings and appointments
Maintain filing systems, both electronic and physical
Prepare reports, memos, invoices, letters, and other documents
Handle incoming and outgoing correspondence, including mail and email
Order office supplies and maintain inventory
Assist in the preparation of regularly scheduled reports
Coordinate with other departments to ensure efficient operations
Perform basic bookkeeping tasks as needed
Greet and assist visitors in a friendly and professional manner
Support team members and executives with administrative tasks
Requirements:
Proven experience as an administrative assistant or in a similar role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Strong organizational and time management skills
Ability to multitask and prioritize workload
High level of discretion and confidentiality
High school diploma or equivalent; associate’s or bachelor’s degree preferred
Preferred Qualifications:
Experience with office management systems and procedures
Familiarity with bookkeeping and basic accounting principles
Ability to work independently and as part of a team
Work Environment:
Full-time, Monday to Friday
Office-based position (hybrid or remote options may be available depending on company policy)
